Attendance Option

The !Trak-It Attendance option can be used stand alone or as an extra cost option of !Trak-It HR. It can also be used in conjunction with timeclocks. It is designed to meet all your attendance tracking needs by offering complete flexibility in handling all types of employee time off. !Trak-It Attendance saves hours of manually accruing vacations and other time off. !Trak-It Attendance provides fast, accurate calculations and powerful reporting to help you keep both management and employees well informed about current status for attendance and available time off.

Extremly flexible to manage any plan

The !Trak-It Attendance option tracks time off for vacation, personal time and illness, using hours as the time off accrual unit. Each employee can have an unlimited number of plans using different seniority, accrual rates and carry-over rules. !Trak-It Attendance tracks incident-based time off such as bereavement, jury duty, medical leaves and other leaves of absence.

!Trak-It Attendance tracks both time off allowed and actual days used or taken. Each attendance plan does separate date-sensitive accounting. Choose accrual to accrue time on a daily basis. Choose lump sum calculation method to award a lump sum at the beginning of a year, quarter, month or week. Or, choose hours worked to have available time off automatically awarded based on the number of hours worked. With !Trak-It Attendance you can batch add holiday or other time off to a department, division or the whole company with one transaction entry.

Reports on demand

With !Trak-It Attendance reports you can give employees an instant, year-to-date snapshot of their attendance and vacation status. Other reports provide management with analysis of absences to quickly detect attendance problems or abuses. There is even a report that helps you recognize employees with perfect attendance records. As with any !Trak-It product, you can customize any of the standard Attendance reports with a simple click on the Customize button.

Simplify tracking for FMLA and all leaves of absence

!Trak-It Attendance tracks FMLA leave information required by law. You can also track medical certification and re-certification for medical leave as well as charge the time taken as vacation or illness, based on your policies.

Integration with time and attendance systems

When used with a time and attendance system, attendance transactions can be passed directly from the time keeping system to !Trak-It Attendance at the end of a pay period. This allows automated updating of accruals, eliminating manual data entry.


Payroll Link Option

The !Trak-It Link payroll interface is an extra cost option that establishes a link between payrolls and the !Trak-It HR Human Resource Management System. This allows those who use both !Trak-It HR and the corresponding payroll to eliminate redundant data entry by automatically passing new employee information, employee changes and employee updates from the payroll system to and from !Trak-It HR.

How the !Trak-It Link works

After a payroll run is completed, a standard ASCII file is generated from within the payroll system. This file is then transferred to the !Trak-It HR data sub-directory via disk, network or modem. The !Trak-It Link is then run, accessing the ASCII data and converting it to the !Trak-It HR database format. Once the conversion is complete, optional reports can be generated listing all the new hires, terminations and salary differences. The program will then, if desired, update the !Trak-It HR databases, creating the appropriate job history records for salary changes and adding all the available information as part of the creation of the New Hire records.

Before processing each payroll, the data is loaded into !Trak-It HR. An export file is then created from within HR, creating an update file that is imported into the payroll system before proceessing timecards or transactions. In this way, if the payroll is able to import data, all changes made in the HR system can be automatically transferred to the payroll including changes such as pay, address, department, status and benefits.

Cost effective solution

The Link can import and export data between payroll and !Trak-It HR and is an excellent, cost-effective way to both initialize the !Trak-It HR databases and maintain changes with a single point of data entry. It can be used as an on-going tool to update both payroll and !Trak-It HR databases.
